The list

Every project, and what needs you

Projects opens on the whole agency's work in one list. The tabs across the top split it by status, and the Overdue tab counts what has slipped, so the first thing you see is what needs you.

  • Tabs for All, Overdue, Requested, Briefed, Active, Review, Delivered, Paused and Declined, each with its count.
  • Each row shows the client, status, tasks done, budget and deadline, with late work in red.
  • Change a status straight from the list without opening the project.
  • The list updates live when a teammate changes something.
Three views

Table, board or calendar

The same projects, three ways. Drag a card across the board to move it to the next stage, or drag a deadline to another day on the calendar. Wiro remembers the view you were using.

  • Board columns for each stage, with a count on every column.
  • Drag a card to change its status; add a project at the foot of any column.
  • The calendar shows deadlines by status colour, and can show task due dates too.
  • Move a deadline by dragging it, with Undo if you move the wrong one.
Find it fast

Filter, group and sort

Narrow the list to one person, one client or one department, then group and sort what is left. Filters stay as you left them the next time you come back.

  • Filter by person (including Assigned to me and Unassigned), by client and by department.
  • Group by status, client, department or assignee.
  • Sort by recently added, last updated, name, client, status, deadline, budget or progress, either way round.
  • Search by project name or client.
Starting work

A new project, ready in one step

Name it, pick the client, set the budget and deadline, choose the team and the department, and start from a task template. The tasks arrive already dated, counted back from the deadline.

  • Budget in your agency's own currency.
  • Assign several people at once.
  • Pick a template and its tasks, priorities and subtasks come with it.
  • Type /project in Messages to start one from a conversation.
From clients

Client requests, ready to accept

When a client asks for new work from their portal, it lands in Requested. Accept it and it moves to Briefed and the client is told work has started. Decline it and they see that in their portal, with Undo if you change your mind.

  • Requests arrive from the client portal, against the right client.
  • Accept or decline from the board, the list or the project itself.
  • A declined request can be reopened later.
The project page

The whole engagement on one page

Open a project and everything about it is there: status, budget, deadline and progress at the top, the stages it moves through, the brief, the team and the client. Pause a project that is on hold and resume it when it is back.

  • Stages run Briefed, Active, In Review and Delivered; click one to move there.
  • Overview, Tasks and Notes tabs, each with a count.
  • Edit the brief, the details and who is assigned in place.
  • The client card links to their email and WhatsApp.
Tasks

Tasks that keep the work moving

Type a task and press Enter to add it. Each one has an owner, a due date, a priority and a status that moves from To do to In progress to Done in one click. Filter to what is open, or to one person's work.

  • Quick add with Enter, or add with details (priority and due date).
  • Filters for All, Open, To do, In progress and Done, and by person.
  • Drag tasks to reorder them.
  • Overdue and due-soon tasks stand out on the list.
Task detail

Subtasks, comments and mentions

Open any task for the detail: its description, subtasks with a progress bar, and a comment thread. Mention a teammate with @ and they are notified. Changes save as you type.

  • Status, assignee, due date and priority at the top.
  • Subtasks you tick off, with done out of total.
  • Comments update live and post with Ctrl or Cmd Enter.
Templates

Templates for the work you repeat

Start from Wiro's starter templates or ones your team has saved. Pick one, check its tasks, and add them all. Due dates are worked out from the project's deadline, so a template fits any project.

  • Preview every task, its subtasks and when it falls before you add it.
  • Save any project's tasks as a template for your team.
  • Templates keep tasks, priorities and subtasks.
Deliverables and review

From upload to approved

Upload the files or add links to what you made. When it is ready, submit the project for review and your managers are told. They approve it to deliver it, or request changes to send it back.

  • Upload files up to 100 MB, or add a link with a label.
  • Each deliverable shows who added it and when.
  • Submit for review needs at least one deliverable.
  • Approve or Request changes notifies whoever added the work.
Client sign-off

Approval from the client, no login needed

Create a private review link and send it to the client. They open it, see the work, add their name and a comment, and approve or ask for changes. Their answer appears on the project straight away.

  • One link per project; a new link replaces the old one.
  • No account or password for the client.
  • Shows who approved, what they said and when.
Money

The budget beside the work

Every project shows how much of its budget has been invoiced, what has been paid, what is waiting, what it cost and what is left to invoice. Raise the next invoice from the project.

  • Budget, invoiced, paid, waiting for payment, expenses and left to invoice.
  • The latest invoices for the project, with their status.
  • A warning when invoicing goes over budget.
  • Only people with Finance access see it.
Bulk changes

Change many projects at once

Tick the projects you want and change them together: set a status, assign them to a client, or delete them. Deleting asks first and says exactly what goes with them.

  • Select rows one by one, or all at once.
  • Set status, Assign to client and Delete in one step.
  • Undo on the changes you might regret.
Notes

Notes the team actually reads

Keep the decisions and context on the project, not in a chat that scrolls away. Mention someone with @ and they get a notification.

  • Post with Ctrl or Cmd Enter.
  • Edit or delete your own notes; edited ones say so.
  • Opening Notes clears your mention notifications.
