Add it to your email

  1. Click Copy signature above.
  2. In Gmail on a computer, open Settings (the gear), then See all settings.
  3. On the General tab, scroll to Signature and click Create new.
  4. Paste into the box, choose it under Signature defaults, and click Save Changes at the bottom.

Gmail allows up to 10,000 characters, and the Gmail app on a phone has its own mobile signature setting.

Getting it right

What makes a signature work

  • Keep it short. Name, role, company, one phone number, the website. Everything else is optional.
  • Link the logo, do not paste it. Email apps load pictures from a link, so host the logo on your website and use that address. Keep the file small, well under 100 KB.
  • Use text, not a picture of text. A signature made as one image is blank when pictures are blocked, and cannot be read by screen readers or copied.
  • Mind dark mode. Some apps turn the background dark. A logo with dark lettering on a transparent background can vanish, so give it a light edge or a solid background.
  • Same signature for the whole team. Make one, change the name and role for each person, and your emails look like one company.

Common questions

How do I add the signature to Gmail?

Click Copy signature, then in Gmail on a computer open Settings, See all settings, and on the General tab find Signature. Create a new one, paste it into the box, choose it under Signature defaults and save the changes at the bottom of the page.

Why does my logo not show?

Email apps load a signature's pictures from a link, so the logo has to be online at a public https address, such as the logo on your website. A picture saved only on your computer never reaches the reader. Some apps, classic Outlook among them, also hold back pictures until the reader allows them, which is why everything else in the signature is text.

Can I add my name in Arabic?

Yes. Add it in the Name in Arabic field and it appears under your English name, written right to left. Send yourself a test email: a few apps, Gmail among them, can set a whole message right to left when it contains Arabic.

Will it look the same in Outlook?

The signature is built with tables and inline styles, which is what Outlook, Gmail and Apple Mail all read, so it holds its layout. The fonts are ones every computer has (Arial, Helvetica, Verdana, Tahoma and Georgia), because web fonts do not work in Gmail or Outlook.

Is anything I type saved?

Only in this browser, so the signature is still there when you come back. Nothing is sent to Wiro.
